This Privacy Policy explains how HireBest ("we", "us", "our") collects, uses, and protects information when you use our AI-powered CV screening service.

1. Information we collect

  • Account data: name, email, password hash, and company name when you sign up.
  • Job descriptions and candidate CVs that you or your team upload.
  • Usage data: pages viewed, screenings run, browser type, IP address, and device identifiers.
  • Billing data: if you purchase a plan, we collect billing contact details. We do not store full card numbers.

2. How we use information

  • To run AI screening and produce match scores, categories, and reasoning.
  • To operate, secure, and improve the service.
  • To contact you about your account, support requests, and billing.
  • To comply with legal obligations.

3. Candidate data

You are the controller of any CVs and candidate data you upload; HireBest acts as a processor on your behalf. You confirm you have a lawful basis (such as candidate consent or legitimate interest) to process this data and to share it with us. We retain candidate data only as long as needed to provide the service or as you instruct.

4. AI processing

Screening uses third-party large language models to score candidates. Inputs are sent to these providers under data-processing agreements. We do not allow these providers to train their models on your data.

5. Sharing

We share data only with infrastructure providers (hosting, database, email, AI inference) strictly to operate the service, or when required by law. We never sell personal data.

6. Security

Data is encrypted in transit (TLS) and at rest. Access is limited to authorized staff. No system is 100% secure; we will notify you promptly of any breach affecting your data.

7. Your rights

You may request access, correction, export, or deletion of your personal data by emailing us. Candidates can request the same through the recruiter who uploaded their CV; we'll assist where required by law.

8. Cookies

We use essential cookies for authentication and a minimal set of analytics cookies to understand usage. You can disable non-essential cookies in your browser.

9. International transfers

Data may be processed in countries other than your own. We use standard contractual clauses where required.

10. Changes

We may update this policy. Material changes will be notified by email or in-app.
